Transport & Logistics Coordinator

Job Summary:

To supervise day-to-day field delivery and maintain yard readiness across drainage and environmental works. The role ensures the right people, vehicles, plant, materials, and permits are in place to deliver reactive and planned jobs safely, on time, and to quality standards, while controlling costs and maintaining high customer satisfaction.

Job title: Field / Yard Supervisor

Business unit: Drainage & Environmental Services (Flush-Line Group)

Reports to: Field Operations Manager

Direct reports: Field engineers

Location: Yard (SE London) with frequent travel to sites as required

Hours: 6am to 4pm plus on-call rota as required

Role type: Full-time, permanent

 

Key accountabilities

A) Field supervision & service delivery

  • Be first point of contact / support for all engineers
  • Allocate and supervise field crews for reactive call-outs and planned works (jetting, unblocks, CCTV support, minor repairs, environmental response where applicable).
  • Ensure works are delivered to specification, within agreed SLAs, and with a strong “first-time fix” mindset.
  • Provide hands-on support on-site when needed (especially for complex access, customer issues, or high-risk activities).
  • Conduct quality checks (workmanship, reinstatement, cleanliness, customer handover) and rectify defects promptly.

B) Yard / depot operations & readiness

  • Run daily yard operations: opening checks, housekeeping, secure storage, and controlled issue/return of tools and plant.
  • Maintain stock levels for consumables and spares (PPE, hoses, fittings, signage, barriers, jetting consumables, etc.).
  • Manage vehicle/van stock standards and readiness (standard kits, spares, paperwork packs).
  • Coordinate plant/tool inspection regime (PAT/PUWER/LOLER where applicable) and ensure records are maintained.
  • Fleet, plant & defect management
  • Ensure daily vehicle and plant checks are completed, logged, and defects escalated/rectified.
  • Liaise with workshops/suppliers to schedule servicing, repairs, calibrations, and statutory inspections.• Monitor utilisation and downtime; implement preventative measures to reduce vehicle off-road time.

D) H&S leadership and compliance

  • Lead by example on safe working practices and behavioural safety.
  • Ensure appropriate RAMS are in place, briefed and followed; stop work if conditions are unsafe.
  • Ensure correct permits are obtained/used (e.g., permit-to-work, confined space, hot works, asbestos awareness interface, etc. as relevant).
  • Deliver toolbox talks, site safety checks, and contribute to audits/inspections.
  • Report and investigate incidents, near misses, and non-conformances; implement corrective actions.

E) Job administration & reporting

  • Ensure job sheets are completed accurately with photos, notes, waste documentation (where applicable), and client sign-off.
  • Track labour, materials, subcontractor inputs (if used), and variations to support timely invoicing.
  • Maintain basic performance reporting: SLA performance, first-time fix, return visits, defects, downtime, H&S actions.

F) Team leadership & development

  • Lead and motivate engineers; set clear expectations on timekeeping, presentation, customer conduct, and quality.
  • Coach and support training needs (tickets, competencies, inductions).
  • Support recruitment onboarding: inductions, tool issue, yard and vehicle familiarisation, probation check-ins.

G) Customer & stakeholder management

  • Act as a key point of contact for site teams and clients during delivery (especially escalations).
  • Communicate updates clearly to internal dispatch/office and customers—ETAs, access requirements, job progress, and recommendations.
  • Maintain a professional, solutions-led approach consistent with Flush-Line Group standards.

  • Operations/Contracts Manager, Dispatch/Helpdesk, H&S/Compliance, Stores/Procurement, Finance/Accounts, Fleet/Workshop, Clients/Site teams, Approved subcontractors/suppliers.

Key performance indicators (KPIs)

  • SLA compliance (response and completion times)
  • First-time fix rate and reduced repeat visits
  • Vehicle/plant uptime and defect closure time• Job pack quality (photos, notes, sign-off, compliance evidence)
  • H&S metrics (toolbox talks delivered, audits closed out, incidents/near misses)
  • Cost control (consumables wastage, emergency purchases, fuel/idle time trends)
  • Customer satisfaction / complaints and remedial close-out times

Person specification

Essential

  • Proven experience in drainage/environmental field operations with supervisory responsibility.
  • Strong working knowledge of reactive service delivery and planned maintenance routines.
  • Confident in leading teams, prioritising workload, and communicating with dispatch and customers.
  • Good understanding of H&S requirements and safe systems of work (RAMS, permits, PPE).
  • Strong organisational skills: yard control, stock awareness, vehicle readiness, documentation discipline.
  • Full UK driving licence (and able to travel to sites).
  • Enhanced DBS check.
  • Right to work in the UK with no limitations.

Desirable

  • CSCS Card (or willingness to complete).
  • SSSTS (or willingness to complete); IOSH Working Safely/Managing Safely.
  • Confined Space training (medium/high risk), traffic management/NRSWA.
  • Experience with CCTV drainage surveys and producing clear recommendations.
  • HGV/CPC (desirable or willingness to complete).
  • Experience using job management / CAFM systems.
  • First Aid at Work / Emergency First Aid.
